When working on a budget or making custom forecast edits, you may not want those changes to be overridden when RunSmart automatically or manually pulls new data from your accounting system. That’s where the Lock feature comes in.
What the Lock Feature Does
Locking a scenario ensures that it keeps the same forecast data it had before a pull request—whether automatic or manual.
This prevents your edits from being lost or overwritten while you’re in the middle of making adjustments or building a budget.
Once locked:
The scenario will not be updated during data pulls.
You can still manually edit the scenario’s forecast data or rename it.
Locking does not affect your plan limits—you can still create the same number of scenarios allowed by your subscription.
Note: The Default Forecast is always locked by design and cannot be manually unlocked.
How to Lock or Unlock a Scenario
You can lock a scenario from either the Dashboard or the Projects page/module.
From the Dashboard
Check the Lock Scenario box under the scenario name at the top of the page.
A check mark indicates that the scenario is locked.
From the Projects Page
Navigate to the Projects section.
You’ll see a list of all your scenarios, each with a lock icon next to it.
Click the lock icon to toggle between locked 🔒 and unlocked 🔓.
The icon changes automatically to reflect the current status.
Why Locking Matters
Locking is especially useful when:
You’re manually editing your forecast, finalizing a budget or multi-scenario analysis and don’t want data changes mid-process.
You’re preparing reports based on a fixed set of assumptions.
You want to preserve a scenario for comparison against future data pulls.
Example Use Case
You’ve customized a forecast scenario to test a new hiring plan. The next morning, RunSmart performs an automatic pull from QuickBooks. If your scenario is unlocked, its data would update automatically and overwrite all of your edits.
By locking it, you ensure your custom version stays intact until you decide to unlock it later.
