Understanding Archived Snapshots and Your System of Record

Learn how RunSmart archives prior monthly forecasts, scenarios, forecast edits, KPIs, and comments so you can review historical snapshots and preserve the reasoning behind past financial decisions.

RunSmart automatically creates a historical record of your monthly forecasts so prior analysis, scenario changes, and comments are not lost when a new monthly data pull is completed.

Each time a new month is pulled into RunSmart, your prior Main Analysis and related scenarios are saved as locked archived snapshots. This allows you to go back and review what your forecast looked like at a specific point in time, including the assumptions, edits, and comments that supported your decisions.

Archives are available on all RunSmart plans.

Why Archived Snapshots Matter

Archived snapshots help preserve the financial history behind your forecasts, scenarios, and decisions.

As your business changes month to month, your forecasts will change too. Archived snapshots make it easy to look back and understand what the forecast showed at a specific point in time, which assumptions were adjusted, and what comments or discussions supported those changes.

This is especially helpful when a scenario is converted into a budget. You can return to the archived version later to review the forecast adjustments, comments, and reasoning that were used when the budget was created.

What Gets Archived

When a new monthly pull is completed, RunSmart archives the prior month’s:

  • Main Analysis

  • Associated scenarios

  • Forecast edits

  • Metrics and KPIs

  • P&L & Sales forecast comments

  • User comments left within scenarios

The archived version becomes a locked historical snapshot. The financial data in that snapshot does not change after it is archived.

How Archived Snapshots Work

Each new monthly forecast becomes your active working version.

Prior months are saved as read-only archives.

For example, if you complete a new pull for October 2026, your September 2026 Main Analysis and scenarios are archived. October 2026 becomes the active working version, while September 2026 remains available as a historical snapshot.

Archive Retention by Plan

Archived snapshots are retained based on your RunSmart plan:

  • Standard: 1 year of archived snapshots

  • Premium: 3 years of archived snapshots

  • Pro: 5 years of archived snapshots

You can select any stored archived month that falls within your plan’s retention period.

Where to Find Archived Snapshots

You can access archived snapshots from the Project page.

Within each project card, you will see an Archives section. This section shows the two most recent archived months as clickable links.

Below those links, select 'View More' to open a full list of available archived months.

From there, you can choose any stored archived month based on your plan.

Archived snapshots are also available from project cards on the Teams page.

How to Know You Are Viewing an Archived Snapshot

Archived views are visually different from your active Main Analysis so you always know when you are looking at historical information.


When viewing an archived snapshot:

  • The background changes to gray

  • An orange banner appears at the top of the page

  • The banner identifies the archived month and year

Returning to the Live Main Analysis

When viewing an archived snapshot, use the Return to Main Analysis button at the top right hand corner of the page to return to the live working version of the project.

You can also select the Projects icon from the sidebar. This will return you to the live Project page.

What You Can and Cannot Do in an Archive

Archived snapshots are designed to preserve historical information.

You can:

  • View prior Main Analysis data

  • View prior scenarios

  • Review historical forecast edits

  • Review historical comments

  • Continue adding comments to an archive when additional discussion is needed

You cannot:

  • Edit the financial data in an archived snapshot

  • Change historical forecast values

  • Modify archived scenarios

  • Update archived metrics or KPIs

  • Turn an archived snapshot back into the active Main Analysis

The financial data remains locked so the archive stays accurate as a historical record.

Comments in Archived Snapshots

Comments left within a scenario are stored with that archived version.

This allows you to review the original discussion, reasoning, and context behind prior forecast decisions.

You can also continue adding time-stamped comments inside an archived snapshot if your team needs to keep discussing that historical version. However, the underlying financial data will remain read-only and will not change.

Team Access to Archives

Because archived snapshots are read-only, Team Leads, Editors, and Reviewers have the same access when viewing archives.

All team members with access to the project can review archived snapshots based on their project permissions, but no one can edit the archived financial data.

Sidebar Changes in Archived Views

To make archived views simpler and avoid confusion, some sidebar options are removed when viewing an archived snapshot.

In archived views:

  • The Teams icon is removed from the Workspace section

  • The Tracking & Reporting section is removed

  • Edit icons are removed from the remaining sections

These changes help reinforce that archived snapshots are historical records, not active working versions.

Each month, your prior Main Analysis, scenarios, forecast edits, KPIs, and comments are saved before the new monthly forecast becomes active. This gives you a reliable system of record so you can look back, understand what changed, and preserve the reasoning behind past decisions.
