Portfolio View: Monitor Multiple Projects in One Dashboard (RunSmart)

Learn how to use Portfolio View in RunSmart’s Pro plan to monitor revenue, net income, profit margins, runway, and health grades across multiple QuickBooks-connected projects in one centralized, sortable dashboard.

If you're on the Pro plan with a multi-project license (10+ projects), Portfolio View gives you a high-level snapshot of all your connected projects in one centralized table.


This feature is especially helpful for CPA firms and advisory teams managing multiple client businesses.


Portfolio View enables advisory firms and multi-entity users to:

  • Monitor performance across clients at a glance

  • Identify revenue trends quickly

  • Spot margin compression early

  • Track runway risk across businesses

  • Compare health scores in one place

  • Prioritize which clients need attention

Instead of jumping from project to project, you get a true portfolio-level perspective.


Who Can Access Portfolio View?

Portfolio View is available:

  • ✅ Only on the Pro plan

  • ✅ Only if your account has a license for 10 or more projects

  • ✅ Only visible to the Account Owner and to Admins assigned by the Account Owner

Note: You do not need 10 active projects — you simply need a license that allows 10 or more.


How to Access Portfolio View

  1. Go to the Projects page

  2. In the top right-hand corner, toggle from:

    • Project View (default) → to → Portfolio View

You can switch back and forth at any time.


What Portfolio View Shows

Portfolio View displays high-level performance metrics pulled directly from the Main Analysis of each connected project.

It is structured as a sortable table.

Only projects that are connected to QuickBooks will appear.

Projects that have been created but are not yet connected to QuickBooks will not be included.


Table Columns Explained


Client Name

  • Displays the Client Name

  • Shows the Project Name in smaller text beneath
    (Example: Project Name: 2026 Plan and Beyond)

This column is locked (sticky) so you can still see the client/project name while scrolling horizontally.


Click Behavior

Clicking the Client/Project Name takes you to that project's:
Main Analysis Dashboard


Total Revenue (YTD)

Includes:

  • Total Revenue Year-to-Date

  • Growth vs Same Period Last Year

    • Green if positive

    • Red if negative

  • Next 12-Month Forecast

    • Displayed as a mini sparkline

Click Behavior

Clicking Revenue (excluding the sparkline) takes you to:
P&L Page


Net Income (YTD)

Includes:

  • Net Income Year-to-Date

  • Growth vs Same Period Last Year

    • Green if positive

    • Red if negative

  • Next 12-Month Forecast

    • Mini sparkline

Click Behavior

Clicking Net Income (excluding the sparkline) takes you to:
P&L Page


Net Profit Margin %

Includes:

  • Net Profit Margin (YTD)

  • Growth vs Same Period Last Year

    • Green if positive

    • Red if negative

  • Next 12-Month Forecast

    • Mini sparkline

Click Behavior

Clicking Net Profit Margin (excluding the sparkline) takes you to:
KPIs Page


Runway (As of Most Current Month)

Shows how long the business can operate before running out of cash.

Displayed as:

  • 1 Year and 3 Months (April 2027)

  • 4 Months (May 2026)

  • ≥ 5 Years (if runway exceeds 5 years)

  • Out of Cash (if zero months remain)

Includes trend indicator vs previous month:

  • ▲ Improved (green)

  • ▼ Deteriorated (red)

  • ● Stable (orange)

Click Behavior

Clicking Runway takes you to:
Cash Flow Page


Health Score

Displays:

  • YTD Health Grade (Letter Grade with associated color)

  • Trend indicator vs previous month:

    • ▲ Improved (green)

    • ▼ Deteriorated (red)

    • ● Stable (orange)

Click Behavior

Clicking the Health Grade takes you to:
Health Scorecard Page


Last Pull Date

Shows:

  • Timestamp of the most recent automatic or manual data pull.


Sorting

All columns (except the 12-month sparkline forecasts) are sortable:

  • Numeric columns → High to Low / Low to High

  • Text columns → A to Z / Z to A


Data Source

All data shown in Portfolio View is pulled directly from the Main Analysis of each project.

This ensures consistency across:

  • Dashboard

  • Financial Statements

  • KPIs

  • Health Scorecard


Edge Cases & Special Behavior

Projects Not Connected to QuickBooks

Projects that are not connected to QuickBooks will not appear in Portfolio View.


Project Currently Pulling Data

If a project is in the middle of a data pull:

  • The Client/Project Name remains visible

  • The rest of the row displays a loading progress bar

  • Data appears automatically once the pull completes

This ensures transparency while keeping the portfolio view usable.
